Primary Objective:
To administer the company logistics function for the timely, accurate, efficient and economical movement of goods outbound to customers and subsidiaries. Determines transportation requirements for ordering the correct mode and assets to ensure the safe, accurate, and cost effective, timely delivery of MTS shipments. Reconciles all invoices to ensure the proper assignment of costs.

Major Areas of Accountability:
Documentation
1. Prepares and/or coordinates the preparation of documents (i.e. outbound bills of lading, NAFTA certificates, invoices, weigh bills, and Shipper’s Letter of Instruction) to support the departmental efforts to process all outgoing shipments in a timely, effective manner by avoiding delivery delays.
2. Scanning applicable documents (order, Letter of Credit, quote, delivery note, etc.) to ensure we can perform to the needed requirements of the customer, banking, and governmental regulations.
3. Reviews all shipping documents to ensure compliance with US and International Compliance Trade organizations.
4. Maintains accurate filing systems in a readily accessible manner for all transportation documents to ensure compliance with state and federal regulations.
5. Prepares all hazardous materials/dangerous goods documentation.
6. Cooperates with Accounts Receivable and Accounts Payable on any requests, ensuring on-time payment by us to service providers as well as timely payments to us from customers. Audits freight invoices, GL codes invoices as well as performs any other needed investigations to ensure accurate, timely processing of invoices.

Services
1. Coordinates shipment schedules with crating staff, shipping staff and carrier(s) to arrange for pick-up.
2. Prepares quotations for transportation costs in support of customer quoting activity in sales and marketing divisions usually with vague information at hand so analysis is needed to get close quotes.
3. Provides tracking services when requested, and expediting services for emergency shipments.
4. As necessary, performs functions in the packaging area when needed. Provides backup to small parcel area.
5. Matches incoming invoices with existing documentation to ensure proper assignment of costs. Identifies and resolves questions or problems resulting from the audit with employees and/or supervisors.
6. Maintains inventory levels of supplies in the small parcel and crating area.
7. Gathers up necessary documentation and files claims with carriers.

Vendor-Client Relationships
1. Directs the process of validating rates and charges and the authorization of payment to carriers and brokers.
2. Keeps abreast of changes in U.S. customs operations and procedures. Attends educational classes as required.
3. Central link between some or all of the following parties to ensure smooth shipments: Project Engineering team, Service team, Global Compliance team, local MTS offices, Business Partners, Customer’s Forwarder and/or Order Admin team.

Leadership
Assists in training new employees on the shipping (vendor) computers and also the internal SAP system.
1. Works to develop other staff members for smooth transition in the event of vacation, illness, staff changes, or other emergencies.

 

Qualifications:

  • High school diploma or equivalent.

  • Three years relevant Logistics experience including experience with SAP.

  • Post high school educational courses or equivalent in Logistics or Supply Chain desirable.
