Adminstration Officer in Germany, Berlin (m/f/d)

1. Cooperation with the works council

a) Preparation of the meetings with the WC including non-HR drafts and take the minutes of the meetings

b) Creation of an overview based on CATs reports of the working hours per month for German employees including overtime payments and submission to WC on a quarterly basis

 

2. Data protection

A. DPIAs (Data Protection Impact Assessment) for new software

a) IT or the responsible manager must prepare a draft.

b) Send to data protection officer (DPO) and coordinate with him.

c) Order translation (via PSR) into German and check if okay

d) Send to DPO for signature.

e) Send signed DPIA to WC and organize answers to possible WC questions (with DPO / IT / responsible manager).

B. Cooperation with the DPO on data protection agreements (DPAs) with branches, service providers, etc.

C. Assisting the DPO and branch managers in Europe in the event of a data breach

 

3. Guidelines

a) Compilation of the documents for the works council if policy has a co-determination requirement

b) Creation of templates for revision / creation of German / European rules, e.g. company car, mobile phone, travel expense guidelines, etc./

 

4. Part of EHS, cooperation with external EHS company + QM in Minneapolis
a) Coordination of activities with the external EHS company for audits

b) Coordination of activities with QM in Mnpls for audits

c) Supports internal and external audits

d) Supports UUB reg. timely trainings and medical examinations of all employees, managed by Previsoft

e) Coordinate related team activities: Organize and coordinate quarterly (U)ASA, quarterly review with QEHS Core team, coordinate "first aider team"

f) Pandemic tracking e.g. COVID-19

 

5. Customer requirements / statistics

a) Checking customer requirements, if necessary, with regard to working conditions and filling out attachments to an offer from MTS, providing documents

b) Processing / filling in statistics e.g. VDMA, State Statistical Office etc.

 

6. Translations

a) Organization of translations German / English from the areas of HR, finance, IT and compliance

b) Checking and approval of the translations

c) Translate short texts (English / German)

 

Others:

Support of the HR department with administrative tasks in case of substitution (vacation / illness)

a) Support for managers and employees in the event of serious problems with OLE. Maintenance and tracking of time recording data in OLE

a) Immigration from / to Germany

b) Research on conditions + support for the transfer of new hires from outside the EU to one of our branches, including a visa / work permit for the applicant
